Confirm the brief early
Start with the outcome, not the gear list. Align on:
- Audience size and room layout
- Speakers, panels, or entertainment segments
- Whether you need livestream, recording, or both
- Branding moments that need visual emphasis

Walk the venue
Site visits catch problems drawings miss. Check power locations, cable runs, sightlines, stage height, and ambient light. If a hybrid or livestream setup is planned, verify network capacity and backup connectivity on site.
Lock the signal flow
Map every input and output before load-in day:
- Microphones and wireless channels
- Presentation laptops and switchers
- Confidence monitors for speakers
- Recording and stream destinations

Schedule a full rehearsal
A proper dry run is not optional for keynote-heavy programmes. Rehearse transitions, clicker handoffs, walk-on music, and Q&A mics. Build in buffer time so last-minute content changes do not cascade into show-time stress.
Plan for contingency
Carry spares for critical paths: backup mics, spare HDMI/adapters, and a secondary recording feed. Assign clear roles so one person owns audio, one owns video switching, and one owns the client relationship on the day.
After the show
Capture notes while the event is fresh. What worked, what to improve, and which assets need delivery. That loop is how productions get sharper over time.
